Important Update: Our Transition to Epic Electronic Health Records

Dear Patients and Families,

We are excited to share that our pediatric practice is taking a major step forward to improve your care experience. In the coming weeks, we will be upgrading our clinic systems and migrating to Epic

This will allow us to coordinate your child’s care more efficiently, offer enhanced communication tools, and streamline your access to medical records and test results through an upgraded patient portal (MyChart).

What to expect during our transition:

As our medical and administrative teams adapt to this new system, our daily clinic operations will move at a slower pace than usual. Your patience and grace during this period mean the world to us.

Please anticipate potential delays and longer turnaround times across all clinic services, including:

  • Phone Calls & Response Times: Hold times and message response windows may be longer as we verify records during the migration.
  • Scheduling & Check-In: Booking appointments and completing the check-in/check-out process will take additional time.
  • Clinic Visits: Your actual time in the clinic during appointments may run longer while our providers document care within the new interface.

To help us minimize delays, we kindly ask that you request prescription refills, routine forms, or non-urgent medical records as far in advance as possible. If you have an upcoming visit, arriving a few minutes early will assist our staff in ensuring a smooth registration process.

We are fully committed to maintaining the highest standard of clinical care for your children throughout this transition. Thank you for your understanding, support, and partnership as we build a better, more connected future for our practice.

As Epic is widely used in our area, many of you are already familiar with its patient portal. We encourage you to sign up for MyChart as soon as we can offer it.

You can request access as the parent or legal guardian of the patient at this link: We will be sending out invites as soon as we can.

Warmest regards,

The Providers and Staff of Woodinville Pediatrics
